JOB TITLE: Accounts Payable Assistant
DEPARTMENT: Finance Operations

Job Purpose Statement:

The Accounts Payable Assistant is a member of the Maintel Accounts Payable team that works under the direction of the Accounts Payable Manger to ensure prompt and accurate processing of Supplier invoices and payments.

Reporting to the AP Manager, the role of Accounts Payable Assistant is responsible for providing financial, administrative and clerical services. These services including processing and monitoring of invoices, payments and queries.

The job holder will be responsible for working as part of a team of Accounts Payable Assistants, to follow, develop existing processes and maintain overall working relationships both internal and external.

Job Accountabilities:

  • Daily Management of AP Inbox
  • Daily Invoice processing
  • Statement reconciliations
  • Supplier queries
  • Supplier Escalations
  • Purchase Order matching
  • Daily, Weekly payments
  • Expenses Queries and assistance
  • Processing of Credit Cards
  • Monitoring and responsible for key accounts
  • Team work

Key Challenges:

  • Management of supplier accounts
    Managing payment expectations
    Dealing with Supplier escalations
    Developing relationships within the business for approvals/goods receipts
    Identifying weaknesses in policies and procedures and proactively suggest improvements

Working relationship with:

Reporting to the AP Manager

Direct Reports

Working closely with Billing, Management Accounts, Credit Control

Customers, Auditors


Specific Job Knowledge, Skills and Experience:

Skills and Abilities

  • Excellent communication skills and attention to detail
  • Be able to demonstrate an analytical and systematic approach to problem solving
  • Confident user of Microsoft Excel with Vlookups experience being desirable
  • Ability to work on own initiative
  • Excellent Organisational Skills
  • Confident telephone manner
  • Energetic and enthusiastic person required


  • Strong knowledge and understanding of Accounts Payable
  • Strong knowledge of basic accounting principles, cash flow concepts and finance agreements
  • Access Dimensions experience is desirable


  • A minimum of 1 years’ experience in a Accounts Payable role or similar role
  • Previous Customer Service experience is desirable
